GULIDELINES FOR SCHOOLS

It is recommended all performances and presentations that tour New South Wales public schools be authorised by the Department of Education and Training through the Performances for Schools program.  This process is co-ordinated by the Performances for Schools Coordinator.

NB: ‘Performers’ refer to both presenters, performers and performing companies.

Before the performance

  • Each school should have a school performances policy which supports curriculum implementation.
  • Performances and presentations should be chosen according to the suitability criteria in the school’s policy.
  • Performances should be varied in content and be chosen with regard to the appropriate age range of the students.
  • Each school should confirm the authorisation of chosen performances by checking the database on this site.
  • The booking confirmation form should be completed and signed by the Principal.  It indicates the price per student and expected audience numbers.
  • Schools should note the cancellation arrangements stated on the booking confirmation form.
  • Schools and performers need to provide prompt notification of any cancellation or alteration to a booking.
  • Every performer or performing company should supply materials with the performance.  These should be copied and distributed to the teachers of participating classes so the visit has a context. These may be pre or post performance support materials.
  • Performers and presenters are visitors to the school and should be treated with the appropriate hospitality.

During the performance

  • Teachers retain duty of care and should model appropriate audience etiquette for students.
  • Teachers and performers must agree on and confirm numbers of students in attendance at each performance.
  • Schools must seek written permission from the performers if the performance is to be recorded in any way and the school should ensure that it is not involved in any breach of copyright.
  • If a performer requests the hosting school to allow a video recording of their presentation, schools should ensure student participants have signed appropriate media/publicity documents.
  • When post performance discussion occurs, school staff should monitor the discussion and be available to chair the discussion if required.
  • It is recommended that certain PDHPE programs are presented in the context of the school welfare program and in consultation with the school counselling staff.

After the performance

  • Teachers are encouraged to use the support documents to follow up the performance with their classes.
  • Teachers should complete the performance feedback forms and fax them to The Arts Unit.

Payment

  • Schools must make payment as indicated on your signed agreement with the performer.
  • The payment is the agreed price per student multiplied by the number of students attending at the session or the stated minimum cost.
  • The school is responsible for the collection of the money.  This money is held in a trust dissection of Oasis finance for the performer and all money is given to the performer, preferably at the end of the performance, or as per the signed agreement..
  • No money should be deducted for commission, hire of the hall or collection of the fees.
  • Any variation of this fee payment must be negotiated and agreed to in writing by the schools and the performer.
  • If any students are to be admitted free of charge, prior permission must be sought from the performers.
  • Schools should be aware that not all performers are registered for the GST.  If their income falls below $50,000,  they can choose whether to be registered or not.  Nonetheless a student does not pay GST on the entry fee to attend a performance.  The school will pay the GST where applicable (on receipt of a tax invoice) and will claim an input tax credit for that amount.  For example, 100 students pay $2.50 each to see a performance $250 is collected.  On receipt of a tax invoice, the school will pay $275 including GST for the show.


Expectations

Schools expect

  • a high quality performance presented by skilled artists with experience in working with student audiences.
  • a performance in line with content outlined in the program’s publicity and as stated in the Authorised Performances for Schools data base – viewable at this website.
  • opportunities for student participation, where appropriate.
  • prior notification of any potentially sensitive issue which may be included in the performance.
  • performances to have current Department of Education and Training authorisation and quality support documents.
  • ALL performers will have undergone a Working with Children Check as a requirement of the Performances for Schools program and in line with current Child Protection legislation.
  • All performers will have current Public Liability Insurance.


Performers expect

  • prompt notification of any cancellation or alteration to plans and when necessary, prompt payment of the cancellation fee.
  • a cancellation fee may apply if the performance is cancelled. A cancellation fee would be stated on the booking confirmation form.
  • a staff member to be organised to meet the performers and direct them to the performance space and staff amenities.       
  • the performance space cleared or arranged to specifications, with access prior to the performance to allow for setting up.
  • the audience to be assembled, settled and ready for the performance at the agreed time.
  • schools to provide an audience of the number of students as agreed to on the booking form, or to advise variation in advance.
  • teachers to retain duty of care throughout the performance and manage student’s behaviour in an unobtrusive manner.
  • the audience to act appropriately and the teachers to model appropriate audience behaviour.
